METHOD OF BID SOLICITATION:  MRSC Small Works Roster Sub-Category for "Generator Installation, Repair, and Maintenance” in accordance with RCW 39.04.155.

NOTICE IS HEREBY GIVEN that the City of Mercer Island, Washington is requesting bid proposals from qualified generator maintenance and service firms for:

Standby Generator Annual Preventative Maintenance
Invitation to Bid (ITB) No. 24-25

The primary scope of work includes, but is not limited to, provision of labor, supervision, equipment, miscellaneous tools and materials, and technical expertise necessary to perform complete testing, inspection, maintenance, repair and emergency services on twenty seven (27) standby generators in accordance with manufacturer’s recommendation and as further described in the Scope of Services section, for the City of Mercer Island, Mercer Island, WA 98040. The City desires that maintenance services be completed prior to October 15, 2024, however this Contract shall be valid until December 31, 2024. Subject to optional bid item pricing and the City’s approval, the Contract may be extended for up to two (2) twelve-month terms. Engineer’s estimate is $48,000 to $56,000.

The selected contractor will be required to meet and agree to all the conditions in the Invitation to Bid (ITB) and attachments, as well as the Required Bid Forms, EXHIBIT “A”, the SAMPLE Contract Documents, EXHIBIT “B”, and the City’s General Terms and Conditions, EXHIBIT “C”.

The purpose is to establish, through a competitive bidding process utilizing the MRSC Small Works Roster, a contract to perform the work described. In addition to the requirements of the ITB and attached exhibits, contractors must be registered on the MRSC Roster to be eligible to bid. To sign up or learn more, visit https://mrscrosters.org/.

No pre-bid meeting will be held. Site visitation can be arranged by contacting Chris Marks at 206-677-1027, or sending email request to chris.marks@mercerisland.gov.

The ITB Attachments show the location of the work as well as existing conditions. Bidders in their own interest are advised to inspect and examine the site of proposed work and obtain, at their own responsibility, all information that may be necessary for preparing the Bid and entering into a Contract. All questions must be received in writing no later than 12:00 PM, July 5, 2024.

To receive automatic email notifications for the project, interested Contractor’s may email chris.marks@mercerisland.gov to be added to the prospective bidders list. Contractors not on the prospective bidders list, but wanting to submit a bid, are urged to check the project webpage regularly for important project updates.

All interested bidders shall submit the required bid forms electronically to bids@mercerisland.gov no later than 2:00PM, July 11, 2024, to be eligible. All submittals shall be clearly titled: “BID PROPOSAL – Standby Generator Annual Preventative Maintenance”.
